PAYMENT/BOOKING

We understand that booking your room from overseas can be stressful, so we do everything we can to make the process easy. We offer live virtual viewings so that you can see our rooms and spaces before you book. Our payment portal, TransferMate, ensures a simple and secure payment process. You can find the portal within your online account. You don’t need a UK guarantor to book a room at Vita Student, and you can cancel your room for free if you are declined a visa or a place at your chosen university.

FAQs

  1. Do I need a VISA to study abroad?

    Yes – all international students require a student visa to study either in the UK or Spain.

    Students coming from the EU countries and citizens of Norway, Iceland, Liechtenstein and Switzerland do not require a visa to enter Spain.

    Students from non-EU Countries may or may not need a visa for visits of less than 90 days. Consult the lists at this website and also the Spanish Consulate which covers your jurisdiction.

  2. How do you apply for a UK Study Visa?

    You can apply for a Student Visa if you:

    • Have an unconditional offer on a course with a licensed student sponsor
    • Have sufficient money to support yourself and pay for at least 1 academic year of your course
    • Are able to read, write, speak, and understand English – You must provide evidence of this!
    • Are under 18 and have evidence of consent from your parents

    You can easily apply for a student visa via the UK Government website.

    Once you have received and accepted your unconditional offer, your university will provide you with a document called a Certificate of Acceptance of Studies (CAS). With your CAS, you can begin your visa application.
    It is important to note, you will be required to pay a surcharge as part of your application! This is called an Immigration Health Surcharge. This gives you access to the UK’s National Health Service. Students receive a 25% discount on the usual cost.

  3. How do you apply for a post-study working visa in the UK?

    It is possible to extend your visa after you have completed your studies. In order to extend your visa, you must:

    • Hold a Student Visa of a Tier 4 (General) student visa.
    • Have an unconditional offer on a course with a licensed student sponsor – shown by your Confirmation of Acceptance for Studies document (CAS).
    • If extending to a graduate visa, you must provide evidence that your new studies are at a higher academic level than your current course.
    • If extending to a skilled worker visa, you must provide a Certificate of Sponsorship from your UK employer.

    If approved you must apply for a national insurance number, this allows you to be taxed and paid for your work. Read more about graduate visas in the UK.

  4. I am in a different country, how do I view my room?

    We are very flexible with our viewing process. If you would like to view the room and communal areas, you can request an appointment and one of our team members can arrange a virtual viewing with you.

  5. Can I work while studying in the UK? What do I need for that?

    Please ensure you’re permitted to work in the UK by the type of visa you hold. If you have doubts about your eligibility to work in the UK you may want to search the government website.

  6. Do I need a guarantor to book a room?

    No, you don’t need a guarantor to book a room at Vita Student.

  7. How secure are Vita Student buildings?

    Vita Student buildings are very safe. All door entry is key fobbed, we have CCTV and our on-site staff are available at reception or patrolling the building 24 hours a day. Their job is to protect residents and the building at all times.

    Vita Student is full of friendly faces. From our residents to our team, we’ve fostered a welcoming community of people from all corners of the globe. Students come to Vita Student to make the most of their time at university and to achieve – our facilities like private study rooms, on-site gyms and movie rooms allow them to do that.

  9. What are the ways to pay?

    When it’s time to pay, you can simply make your payment via card or bank transfer via your child’s Vita Student account. We have a number of payment methods dependent on the country your bank is located in – but these include all major credit and debit cards, and if you’re based internationally, even bank transfers to a local bank in your home currency.

    What is your cancellation policy at Vita Student? Can I cancel if I’ve already booked or paid?

    25/26 Academic Year

    Unless you have booked a Clearing Room (see special cancellation terms for Clearing Rooms below) you can cancel free of charge if you are within your cooling off period; your cooling off period is 5 days from the date of booking, for bookings made before 27th May 2025, and 48 hours for bookings made on or after 27th May 2025.

    You can also cancel free of charge under the below additional policies:

    No Place, No Pay

    If you are declined a place to study at a university located in the same city as your Vita Student accommodation, you may cancel and obtain a full refund, provided:

    • You notify us in writing within 48 hours of finding out your place has been declined and provide evidence to our reasonable satisfaction.
    • The decline is due to not meeting the academic requirements and not for other reasons such as academic or other misconduct, financial issues, withdrawal, or your place being revoked.
    • You completed all necessary steps required by your university to process your application on time.
    • The Occupation Period outlined in your Licence Agreement has not yet begun, and you have not already moved into the accommodation.

    If you intend to appeal the university’s decision, you must immediately notify us. We will confirm whether you continue to qualify for this policy during and after your appeal.

    No Visa, No Pay

    If you are declined a visa to study in the UK by UK Visas and Immigration, you may cancel and obtain a full refund, provided:

    • You notify us in writing by 16th August 2025 and provide evidence of the visa rejection to our reasonable satisfaction.
    • The decline is not due to failing to complete the necessary steps required by UKVI to process your visa application.
    • Your university was able to issue a CAS Number, and the visa rejection was not caused by you failing to complete your application to study.

    Under both additional cancellation policies:

      • You must supply suitable proof to us in writing within 48 hours of being made aware of the change in circumstances and we may request additional information to support your cancellation request to satisfy ourselves of the circumstances of your request.
      • All payments have been completed on time in accordance with your Licence Agreement.
      • If at any point you have checked in to your Accommodation, you are unable to cancel your Agreement free of charge and must find a replacement student.

    Should you need to make a request to cancel your accommodation under any of the above policies, you should send your request in writing (with supporting evidence attached) to customerengagement@vitastudent.com.
    Once you have booked and your cooling period has elapsed, you are bound into a legal licence agreement which requires you to pay for the full period of the licence agreement. We suggest if you are unsure about exam results, receiving your visa or other condition on you attending University that you contact us to discuss on +44(0)203 096 1717.
    If your cancellation request is accepted for one of the above reasons, any Advance Licence Fee Payment will be fully refunded to the account from which it was paid.

    Clearing Room Cancellation Policy

    There is no cooling-off period for our Clearing Rooms.
    You can only cancel free of charge in line with the “No Place, No Pay” policy above.

    Outside of these terms, in order to cancel you must organise a replacement student to take over your contract and take over the liability for the License Fee (and you will still be responsible for all payments until a replacement is found). For the avoidance of doubt, if at any point you have checked in to your booking, you are no longer eligible to cancel free of charge and must find a replacement student.

    If your cancellation request is accepted for one of the above reasons, any Advance Licence Fee Payment will be fully refunded to the account from which it was paid.

    Can I leave early and get the remainder of my license fee back?

    Unfortunately, you are committed under the license period to pay the full license fee. We may have a waiting list of people that would like to take over your booking which would then relinquish you from your contract. We cannot refund your license fee until a replacement is found to take over your booking.

  11. Are parents allowed to visit their children?

    Of course! Residents can have a guest stay up to 2 nights free of charge. Residents are responsible for ensuring that their guests are signed in at reception, and always with you whilst in the building.

  12. When do I need to book my student accommodation?

    Rooms at Vita Student are quick to sell out, so the best time to book your student accommodation is when you’re applying for your university. If you don’t meet your grade requirements for your chosen uni, and aren’t offered a place, you can cancel your room free of charge – check out the cancellation policy (Question 20) for terms and conditions should this occur.

    The best way to book your Vita Student room is directly through us. You can do this easily on our website or by speaking to our dedicated Lettings team.

  14. Is there a cleaning service and is it included in my fee?
    more

    A fortnightly clean of your studio is part of the service at Vita Student. Our brilliant housekeeping team will provide a 20 minute clean of your floor, kitchen worktop surfaces and en-suite to keep things clean for you. We do this to ensure your room is kept in the very best condition throughout the year and to minimise the damage. However, they will not tidy your belongings or wash your dishes to respect your privacy.

    If you would like to book additional deep cleans (excluding Barcelona buildings), please speak to a member of the management team who can discuss the options with you and book an additional clean at a time to suit you.

    The housekeeping team will also clean all communal areas but are not responsible for throwing away your rubbish, so please be mindful and respect the building.

  15. What’s included at Vita Student?

    Vita Student is all-in. Free breakfast, utility bills, private bookable spaces, on-site gym, housekeeping, regular events, and much more are all included when you move in.

  16. What type of rooms do you have?

    Vita Student has a number of student room options to choose from, all designed to give you the best student living experience. We have a range of luxury studios as well as shared apartments – each room however has its own ensuite, bed and study desk.
