Most bookings at Vita Student are for 44-weeks or 51-weeks, however we do occasionally have spaces that allow us to take shorter term bookings of a few months in the current academic year (2024/25).

Your payment due today is the advance licence fee payment which is equivalent to a pre-payment of the first 2 weeks (4 weeks in Barcelona) of your contract, and is used to secure your room. Prices depend on factors like room type, availability, and contract length.

The more rooms are available, the less you can expect to pay. Think of it like buying a festival ticket: The first release is always the most affordable, with the price rising as tickets are sold. Payment method also affects the cost.

Paying in full with our annual option costs less overall, while instalment plans include a small premium for the flexibility of spreading payments. Premiums are also added for shorter contract lengths, meaning you will get the best price for booking a full year.

Booking online is the easiest way to get the room you want.

Find your city, choose the ideal building for you, choose a room type based on the description provided and find your perfect room using our easy to use tool. Then simply follow the instructions in the booking process to complete your booking and one of the team will be in touch to welcome you.

Click Find Your Room and follow the simple steps.

Step 2

Explore the detail on the room page for the room that’s recommended to you. If that room isn’t for you, use the floorplans or Explore More Rooms on the room page to explore other room options.

Step 3

Once you are happy with your room, simply click Book Now and follow the on-screen instructions to pay for and secure your room.

You will receive your booking confirmation via email within 24 hours, and a member of our in-house team will get in touch with you to provide you with dedicated, personal support.

  1. How do I make a payment?

    You can make a payment by clicking the booking tab in your Account and accessing our payment partner TransferMate.

    TransferMate is set up to securely transfer rental payments against your Vita Student account and provides a number of other benefits such as payment tracking and currency conversion at market-leading rates.

  2. What is your cancellation policy?

    25/26 Academic Year

    Unless you have booked a Clearing Room (see special cancellation terms for Clearing Rooms below) you can cancel free of charge if you are within your cooling off period; your cooling off period is 5 days from the date of booking, for bookings made until 25th May 2025, and 48 hours for bookings made on or after 25th May 2025.

    You can also cancel free of charge under the below additional policies:

    “No Place, No Pay”

    If you are declined a place to study at a university located in the same city as your Vita Student accommodation, you may cancel and obtain a full refund, unless:

    You are declined a place for any reason other than not meeting the academic requirements to obtain a place (including, but not limited to, academic or other misconduct, financial reasons, or withdrawing from your application or course)
    You did not complete all necessary steps required by your university to complete your application in time
    The Occupation Period outlined in your Licence Agreement has begun.
    If you are initially declined a place to study at university, or progress into the next academic year, you must immediately notify us if you intend to appeal the decision. We will confirm to you whether you will continue to benefit from this additional policy during and subsequent to your appeal being made.

    “No Visa, No Pay”

    If you are declined a Visa to study in the UK, by UK Visas and Immigration, you may cancel and obtain a full refund if notice is provided to us before 16th August 2025, unless:

    You did not complete all necessary steps required by UKVI to complete your visa application
    Your university was unable to issue you with a CAS Number to obtain your visa owing to you not completing all necessary steps to complete your application to study.
    Under both additional cancellation policies:

    You must supply suitable proof to us in writing within 48 hours of being made aware of the change in circumstances and we may request additional information to support your cancellation request to satisfy ourselves of the circumstances of your request.
    If at any point you have checked in to your Accommodation, you are unable to cancel your Agreement free of charge and must find a replacement student.
    Should you need to make a request to cancel your accommodation under any of the above policies, you should send your request in writing (with supporting evidence attached) to customerengagement@vitastudent.com.

    Once you have booked and your cooling period has elapsed, you are bound into a legal licence agreement which requires you to pay for the full period of the licence agreement. We suggest if you are unsure about exam results, receiving your visa or other condition on you attending University that you contact us to discuss on +44(0)203 096 1717.

    If your cancellation request is accepted for one of the above reasons, any Advance Licence Fee Payment will be fully refunded to the account from which it was paid.

    Clearing Room Cancellation Policy

    There is no cooling-off period for our Clearing Rooms.

    You can only cancel free of charge in line with the “No Place, No Pay” policy above.

    Outside of these terms, in order to cancel you must organise a replacement student to take over your contract and take over the liability for the License Fee (and you will still be responsible for all payments until a replacement is found). For the avoidance of doubt, if at any point you have checked in to your booking, you are no longer eligible to cancel free of charge and must find a replacement student.

    If your cancellation request is accepted for one of the above reasons, any Advance Licence Fee Payment will be fully refunded to the account from which it was paid.

  3. What bills do I need to pay?

    All utility bills (gas, water and electricity), super-fast Wi-Fi and contents insurance for your belongings are included. Your fortnightly cleaning service and grab and go breakfast every weekday is also included in your license fee.

    You are responsible for the purchase of a TV license if you intend to watch or record live terrestrial TV programmes or use BBC iPlayer, even if you have been provided with a TV by Vita Student. If you do not wish to purchase a TV license you will need to complete a TV license exemption form which will be available from your Vita Student accommodation team.

  4. What facilities can I use as part of the early access benefit if I book for next year?

    If you have made a booking for next year, you are part of the Vita Student community from Day 1.

    That means you can access our open hub spaces, open study spaces and gym from 10am-6pm every day even before you move in with us.

    All you need to do is report to reception and sign in to collect your visitors fob. Fobs are only live for 8 hours and will be required to be given back at the end of each visit.

    Unfortunately you won’t be able to use our private bookable spaces as these are booked through the Vita Student app which you will only have access to once you are living within the building.

What is a Clearing Room?

Clearing Rooms are rooms that had previously been booked by other students who have unfortunately had to cancel. This allows us to offer some rooms at significantly cheaper prices than usual.

Cancellation Rights

Before booking a Clearing Room, it is important to note that you are not allowed to cancel your booking for any reason other than you being declined a place at university (“our No Place No Pay”, or “NPNP” policy).For NPNP cancellation requests, to be eligible to cancel you must supply proof to us in writing within 48 hours of being made aware by the University that your place has been declined.

There is no “cooling off” or free cancellation period for Clearing Rooms. Other than cancelling under our NPNP policy, cancellations are not allowed and therefore if you need to cancel your booking you must organise your own replacement student to take over your contract.

No Visa No Pay (NVNP) does not apply to Clearing Rooms and therefore also is not a valid cancellation reason.
